Why Newport works for a corporate event
How a Newport event works with us
Most groups we meet in Newport have come for a conference or an incentive trip, often booked through a destination management company, and they want one afternoon out of the meeting room. We bring the program to the hotel: a SmartHunt that starts in the lobby and runs down to the harbor, a charitable build in the ballroom, or Team Olympics on the lawn. Tell us the hotel and the time slot and we build the program around them.

More about corporate events in Newport, RI
The harbor is the course
Newport packs the wharves, the Thames Street shops, the Colonial streets of the Point and the Bellevue Avenue mansions into a few walkable miles, which is why City SmartHunt® is the program we run most here. Teams of eight to ten take photo and video challenges on iPads we provide, and the route can take in Bowen's Wharf, Washington Square and the start of the Cliff Walk. For a group of several hundred on Goat Island, Amazing Chase SmartHunt® runs as a race with stations, so every team is moving at once.
Giving back on Aquidneck Island
Bike Build Donation® has been a Newport favorite for more than a decade: teams of ten earn parts, build the bikes and hand them to children from a local club, often in the same ballroom. Donation Nation Care Packs, We Care for Kids™ and STEM Backpacks for Kids fill the same slot of 1.5 to 2 hours when a group would rather pack than build.
Lawns, courts and ballrooms
Team Olympics needs about 50 square feet a person, and it has run at the Hotel Viking on Bellevue Avenue and at the International Tennis Hall of Fame, home of the grass-court Hall of Fame Open each July. On a gray or rainy day, Best Corporate Feud and Earth Wind and Solar move the energy into a ballroom.
For leadership teams
Smaller leadership groups come to Newport for an offsite at a quieter hotel on the water, such as OceanCliff on Ocean Drive. Igniting Team Performance® and Competition to Collaboration® are the facilitated sessions they book, with a debrief tied to how the team actually works.
Where Newport events happen
The Newport Marriott on the harbor and the Newport Harbor Island Resort on Goat Island are the two conference hotels we work in most. The Hotel Viking, Hammetts Hotel on the wharf, The Vanderbilt and OceanCliff take smaller groups, and the International Tennis Hall of Fame on Bellevue Avenue is the landmark venue for a group that wants something only Newport has.
Close to Boston and Providence
Newport is a day trip for teams based in Boston and Providence, and many of the groups we meet here are from New England companies holding their annual meeting within driving distance. The same facilitators cover all three, and Hartford is within reach as well.

Room, lawn or harbor: sizing a Newport program
Newport hotels offer ballrooms, lawns on the water and small inns with one meeting room. The programs below are listed by the floor area each person needs.
Floor area per person
- Bike Build Donation®25 sq ft
- Donation Nation Care Packs25 sq ft
- Best Corporate Feud25 sq ft
- Igniting Team Performance®30 sq ft
An inn's meeting room or a private dining room
- Build-a-Raft Competition30 sq ft
Needs a hotel beach or waterfront the resort allows
- Team Olympics50 sq ft
A hotel lawn in summer or a large ballroom
Measured another way
- City SmartHunt®
- Your hotel lobby; the route follows the harbor and the streets of the Point.
- Amazing Chase SmartHunt®
- A start on Goat Island or downtown, with stations spread along the waterfront.
Fort Adams is a state park: a group activity there needs a Rhode Island DEM special use permit at least 30 days ahead. City streets and sidewalks are simpler for a SmartHunt, and a program on a hotel lawn is arranged with the hotel.
A worked example
2,500 sq ft
100 people at 25 sq ft each
Waterfront lawns in Newport are often booked for weddings on summer weekends. Ask your hotel which lawn is free before you settle on an outdoor program.
Planning guide
Newport's season, month by month
Newport is a summer town. July and August highs sit in the upper 70s, and January highs stay under 40.
Outdoors
June to September
- Highs in the 70s: the months for Team Olympics on a lawn and a SmartHunt along the harbor.
- September is warm and quieter than midsummer, a good month for a conference group.
Either way
May and October
- Highs in the 60s. An outdoor program works on a clear day, with a ballroom booked as the backup.
Indoors
November to April
- Cold and sometimes snowy. Charitable builds and game shows in a hotel ballroom are the plan, and parking downtown is easier and often free.
Dates to plan around
- Hall of Fame Open
- July (July 6 to 12 in 2026). Tennis on the grass courts at the International Tennis Hall of Fame.
- Newport Folk and Jazz Festivals
- Late July and early August. Back-to-back weekends at Fort Adams; hotels and ferries fill.
- Newport International Boat Show
- Mid-September (September 17 to 20 in 2026). The waterfront around the Newport Yachting Center is busy for the week.
- Holidays at the Newport Mansions
- Late November through the new year. The mansions decorated for the season, a draw for December groups.
The festival weekends and the boat show take most of the hotel rooms in town. Book around them, or book early.
Planning guide
Getting your group to Newport
Newport is on Aquidneck Island, reached by bridge from the west and by road from Massachusetts to the north.
Flying in
- T.F. Green (PVD)
- The closest major airport, near Providence, under an hour by car.
- Boston Logan
- About 70 miles, roughly an hour and a half by car or coach.
Driving
- Newport Pell Bridge
- The main way in from the west. Tolls are electronic, charged by E-ZPass or billed by plate.
- Parking
- The Gateway Center garage on America's Cup Avenue is the main public lot downtown. Summer rates are hourly; from November through April it is free.
In town
- RIPTA trolley
- A free trolley runs from late May through October to the mansions, the Cliff Walk and the Tennis Hall of Fame.
- Jamestown Newport Ferry
- From mid-May to mid-October, hop-on, hop-off stops include Fort Adams, Ann Street Pier and Perrotti Park.
- Cliff Walk
- Three and a half miles one way along the ocean behind the mansions, open sunrise to sunset.

How far ahead to plan a Newport program
3+ months out
June through September, and especially festival weekends and boat show week. Your hotel and DMC will want the program settled with the rest of the agenda.
6 to 8 weeks out
Shoulder months and winter dates in a hotel ballroom.
2 weeks out
Final numbers, the lawn or ballroom, a rain plan for anything outdoors, and the recipient for a charitable build.
Program day
Our team is on site before the group, works with the hotel's banquet staff, and keeps to the agenda so dinner starts on time.
A winter date can sometimes come together faster. Call and ask. 800.849.8326
