Why The Woodlands works for a corporate event

The Woodlands at a glance

The Woodlands is a planned town in the pines 28 miles north of downtown Houston, and it is where much of the Houston energy business keeps its offices and holds its meetings. Most events here run in a resort or convention hotel on the Waterway, as part of a sales meeting or a leadership retreat. We bring the kits, run the program in your meeting space and pack out before dinner on Market Street.

More about corporate events in The Woodlands, TX

Bike builds, again and again

Bike Build Donation® is the program Woodlands groups book far more than any other, at the Waterway Marriott, The Woodlands Resort and The Westin. Teams earn their parts through challenges, build the bikes and hand them to kids from the YMCA of Greater Houston at the end. It runs 1.5 to 2 hours in a ballroom with about 25 square feet a person.

Energy companies and their meetings

Oil and gas, chemicals and utility companies make up most of the groups we serve here, with banks close behind. Their meetings tend to bring together one region or one business line, and they like a program with a finished product: Go-Kart Competition at The Woodlands Resort, Earth Wind and Solar for a media company's conference, or Build-a-Wheelchair® for a financial services team.

The Westin on the Waterway

A bank has come back to The Westin at The Woodlands summer after summer: Food Truck Face-Off one August, a Mini-Golf Build and Food Donation the next and a Wagon Build Donation after that, with the wagons going to Children's Safe Harbor. A different program each year keeps a returning group guessing.

December toy drives

December is our busiest month here. Holiday builds at the Waterway Marriott have sent toys and bikes to the YMCA of Greater Houston, and Fiesta Fun! has closed out a year for an energy company's team. Book a December date early, because the ballrooms fill with year-end parties.

Where events happen

The Woodlands Waterway Marriott Hotel & Convention Center is where we work most, followed by The Woodlands Resort, The Westin at The Woodlands and the Hyatt Centric The Woodlands. All sit within a few minutes' drive of each other, and the free Town Center Trolley links the Waterway hotels with Market Street and the mall.

Part of Greater Houston

The Woodlands is part of our Houston coverage. The same team runs events downtown, in the Energy Corridor and around Greater Houston, so a company with offices in town and up I-45 can plan both at once.

Planning guide

Floor space for a Woodlands build

The Waterway hotels have ballrooms sized for a whole sales meeting, and The Woodlands Resort adds lawns under the pines. Each build below lists the floor it takes per guest.

Floor area per person

Measured another way

City SmartHunt®
A start at a Waterway hotel; the course follows the Waterway to Market Street.

Outdoor space at a hotel is booked through its event team. A program in a township park may need a reservation with The Woodlands Township, which we can handle with you.

A worked example

2,500 sq ft

100 people at 25 sq ft each

Each square is one person’s 25 sq ft.

Go-kart races need a smooth floor and a lane to race on. Ask the hotel for a room without a raised stage in the middle.

Planning guide

Picking a season in The Woodlands

Summers are hot and humid, with daily highs around 94°F, and winter highs sit near 60°F. The forest shade helps, but plan an indoor option from June to September.

  • Outdoors

    March to May

    • Warm and green, the best time for a Waterway SmartHunt or a lawn program. April brings festivals and race weekends.
  • Indoors

    June to September

    • Highs in the 90s with humidity and afternoon storms. Our August events here all ran in ballrooms.
  • Either way

    October and November

    • Cooler and drier. Good for outdoors, and a busy meeting season at the hotels.
  • Indoors

    December to February

    • Mild but changeable. December is holiday build season, with toy drives and bikes for local kids.

Dates to plan around

The Woodlands Waterway Arts Festival
April. A juried art festival along the Waterway.
IRONMAN Texas
April. Race day closes roads and fills hotels.

Check the IRONMAN Texas date before you book an April program, because road closures reach the hotels on the Waterway.

Getting to The Woodlands

The Woodlands is an easy drive from both Houston airports, and once people arrive they can walk or ride the free trolley.

Flying in

George Bush Intercontinental (IAH)
About 30 miles southeast, the closer of the two airports.
William P. Hobby (HOU)
Less than an hour's drive, farther south across Houston.

Driving

I-45 and the Hardy Toll Road
I-45 is the main route from Houston. The Hardy Toll Road is often faster at rush hour.
Parking
Most lots near Town Center are free, with valet at the hotels.

Getting around

Town Center Trolley
Free and ADA-accessible, linking the Waterway hotels, Market Street and The Woodlands Mall.

Planning guide

How early to book in The Woodlands

  1. 10 weeks out

Any December date, April dates around the festivals, and programs inside a conference at The Woodlands Resort.

  2. 6 weeks out

A ballroom program at a Waterway hotel the rest of the year.

  3. 10 days out

Confirm how many are coming and how the ballroom is set. If the bikes or toys should go to a cause your team already supports, say so now.

  4. Event day

We come in ahead of your meeting's last session, run the build and have the room clear for dinner on Market Street.

Short on time? Ring us; a Waterway ballroom can open up late. 800.849.8326

Corporate events and team building in The Woodlands, TX: questions we get

Which Woodlands hotels have you worked in?

The Woodlands Waterway Marriott Hotel & Convention Center most often, then The Woodlands Resort, The Westin at The Woodlands and the Hyatt Centric The Woodlands. All four are within a few minutes of each other, and the Waterway hotels are on the free trolley route.

What programs do Woodlands groups book most?

Bike Build Donation® by a wide margin, then Go-Kart Competition, Mini-Golf Build and Food Donation, Build-a-Wheelchair®, Earth Wind and Solar, Wagon Build Donation and Food Truck Face-Off. Most run 1.5 to 2 hours in a hotel ballroom.

Where do the donations go?

Most Woodlands bike builds and holiday toy drives have gone to the YMCA of Greater Houston. Wagons have gone to Children's Safe Harbor, and a mini-golf food drive went to the East Texas Dream Center. Your company can also pick the recipient.

Can we do something outdoors in summer?

Summer highs run around 94°F with humidity and afternoon storms, so we plan summer programs indoors. Spring and fall suit a SmartHunt along the Waterway or a lawn program at The Woodlands Resort.

Do you work with energy companies?

Yes, often. Oil and gas, chemicals and utility teams make up most of our Woodlands events, usually a region or a business line meeting at a Waterway hotel, and they tend to choose a build with a finished product.

Do you cover The Woodlands from Houston?

Yes, it is one region to us. This page is about the Waterway and resort hotels up I-45; the Houston page covers downtown and the rest of the metro, so offices in both places can be planned in a single call.

How far is it from the airport?

George Bush Intercontinental is about 30 miles southeast, and Hobby is under an hour's drive. The Hardy Toll Road is usually faster than I-45 at rush hour, and most lots near Town Center are free.

How far ahead should we book?

December is our busiest month here, so give us ten weeks for it, and the same for April around the arts festival and IRONMAN Texas. Six weeks suits most other dates, and a tighter date is worth a call.

Also serving teams across Greater Houston

One team covers the whole metro. An activity in The Woodlands, TX is the same activity, run by the same facilitators, as in any of these cities.
