The village is the course

Vail Village and Lionshead are car-free and connected by the path along Gore Creek, which is why nearly every Vail event we run is a SmartHunt. In City SmartHunt®, teams of eight to ten take photo and video challenges on iPads we provide, with a route past the covered bridge, the clock tower and the gondolas. It runs 2 to 2.5 hours and needs nothing more than a place to start.

A race for bigger groups

Amazing Chase SmartHunt® turns the same streets into a race with stations, road blocks and detours, and it is what we ran for a hospitality group at The Hythe in Lionshead. Everyone is moving at once, so it works as well for a large incentive group as for one department.

Indoors, after a day outside

A Colorado bank held its spring meeting at The Sebastian in Vail Village two years in a row, alternating a SmartHunt with Best Corporate Feud, the game show with survey questions written for corporate groups. It runs 1 to 1.5 hours in a meeting room, which makes it the right close for a day spent on the mountain. A Minute 2 Win It! fills the same slot.

Giving back in the valley

A charitable build such as Bike Build Donation® runs in a resort ballroom in 1.5 to 2 hours, and we can direct the donation to an organization in the Eagle River Valley that your team chooses.

The Town of Vail requires a special event permit, applied for at least 45 days ahead, for an organized activity that takes over public property, a park or a street. A SmartHunt moving through the village in small teams is planned to stay clear of that, and we confirm the route with you.

Two seasons in Vail, and the quiet weeks between

Vail sits at about 8,150 feet. July highs are in the mid-70s, January highs are below 30, and the mountain gets snow from November into April.

  • Indoors

    December to March

    • Ski season: groups ski by day, so we run the game show or a build in the late afternoon.
    • A short village SmartHunt still works on a clear afternoon, with warm layers.
  • Either way

    April and May

    • The mud season after the lifts close: quiet, with some shops and restaurants shut. A SmartHunt runs on a dry day.
  • Outdoors

    June to September

    • Highs in the upper 60s to mid-70s: the best months for a SmartHunt and a lawn program.
    • Afternoon thunderstorms are common from July, so we start outdoor programs in the morning.
  • Either way

    October and November

    • Cool and quiet until opening day in mid-November. Outdoor programs work on a sunny day; the ballroom is the backup.

In 2026 the mountain closed early, on April 8, after a thin snow year. For a spring group that wants to ski, plan for March.

Getting your group up to Vail

Vail is on I-70 in the Gore Valley. Once the group is there, nobody needs a car.

Flying in

Eagle County Regional (EGE)
About 35 miles west of Vail, the closest airport.
Denver International (DEN)
About 118 miles east on I-70, roughly two hours in good conditions and well over three in a storm or on a busy weekend.

Driving in winter

Colorado Traction Law
From September 1 to May 31 on I-70, cars need winter or all-season tires with enough tread, or chains. Vail Pass closes at times in storms; check COtrip before a group drives up.
Shuttles
Coach and van services such as Bustang and airport shuttles save a group the drive.

Free buses link Vail Village and Lionshead, with the path along Gore Creek for those on foot.
Parking
The Vail Village and Lionshead parking structures charge by the hour in winter; groups staying in the village rarely need them.

Vail sits at about 8,150 feet, and guests from sea level feel it on their first day. A SmartHunt is a walk through the village at each team's own pace, and we keep water at the stations. For a very active program such as Team Olympics, schedule it after the group's first night.

Can a program fit around skiing or a conference schedule?

Yes. A SmartHunt runs 2 to 2.5 hours and Best Corporate Feud runs 1 to 1.5, so either fits an afternoon after the lifts or a slot between sessions. Tell us the agenda and we will set the start time and the starting point to match.

How many people can take part?

Our Vail groups have ranged from a small team on a village hunt to an incentive group of well over a hundred. Most programs list 30 to 1,000+, and for a large group we split the village into zones so teams are never crowded together on one street.

Do you also cover Beaver Creek and the rest of the valley?

Yes. We bring the same programs to resorts down the Eagle River Valley, including Beaver Creek, and to Denver and the rest of the Front Range. Tell us where the group is staying and we will plan the program around that resort.

How far in advance should we book?

Three months for ski season, the holiday weeks and summer festival weekends, when resort meeting rooms are committed with the room block. Six weeks is usually enough for spring and fall, but allow at least 45 days for anything that needs a Town of Vail special event permit.
