Why St. Augustine works for a corporate event

How it works with us here

St. Augustine groups come for the history, so the program booked most here is City SmartHunt®, which sends teams on foot through the old town with iPads we provide. Indoor programs run in the hotels: the Hilton on the bayfront, the World Golf Village Renaissance off I-95 and the Embassy Suites on St. Augustine Beach. We bring the facilitators and the equipment, and our Florida team in Palm Harbor plans the route around festival weekends and the Nights of Lights.

More about corporate events in St. Augustine, FL

The oldest streets as a course

The historic district packs the Castillo de San Marcos, the Plaza de la Constitución, St. George Street and the Bridge of Lions into a few blocks, which keeps a hunt on foot from start to finish. Clues can ask about the coquina walls of the fort, finished in 1695, or the lions guarding the bridge, and the answers are all within sight. Teams of eight to ten race between clue stops for 2 to 2.5 hours. A nonprofit booked one for a conference based at World Golf Village, and a second group chose the same program for a November meeting.

On Matanzas Bay

The Hilton St. Augustine Historic Bayfront faces the bay between the Castillo and the Bridge of Lions. An insurance company paired two programs there for one meeting: Operation Military Care, where teams earn and pack care packages for service members, and Mavericks Murder Mystery, a detective game played with VR crime scenes and AR evidence. The hotel's meeting rooms are compact, which suits a group of a few dozen, and the historic district starts across the street.

World Golf Village

The World Golf Village Renaissance St. Augustine Resort sits by two championship courses off I-95, about 11 miles northwest of the old town. It takes the larger conference groups, and a charitable build there combined a wheelchair build with Project Alzheimer's™, where teams earn MP3 players and music for people living with dementia.

On St. Augustine Beach

The Embassy Suites by Hilton St. Augustine Beach Oceanfront Resort sits on A1A between Anastasia State Park and the county pier, about ten minutes from downtown. A meeting services company ran Putting for Pets there: teams build mini-golf holes out of pet supplies, play the course, then donate the supplies to an animal shelter.

Around the Nights of Lights

From November 21, 2026 to January 18, 2027, the old town is lit for the Nights of Lights, and the evenings bring the year's heaviest crowds and traffic. A daytime SmartHunt works well in those weeks, and a hotel program in the evening keeps the group off the roads. The city runs a free park and ride on the busiest nights.

Along the First Coast

Jacksonville is about an hour north on I-95, Daytona Beach about an hour south, and Orlando under two hours away. The same team plans events in all of them.

Planning guide

How much room each St. Augustine program needs

The bayfront hotel's meeting rooms are compact and the resort ballrooms are large, so the space per person tells you which programs fit where.

Floor area per person

Measured another way

City SmartHunt®
A start at your hotel or the Visitor Information Center, with the historic district as the course.
Mavericks Murder Mystery
About 30 square feet for each team of five or six, in a meeting room.

Events on city property, such as the Plaza de la Constitución or Francis Field, follow the city's Terms of Use for Public Property Events Manual, updated for October 1, 2026, with its own block-out periods and fees. A group on foot using the sidewalks for a SmartHunt is a different matter, and we check your route with you.

A worked example

1,750 sq ft

70 people at 25 sq ft each

Each square is one person’s 25 sq ft.

Mini-golf holes take more floor than a table build. For Putting for Pets, plan on the larger room.

St. Augustine weather and the festival calendar

Highs run from about 68 in January to 91 in July. August and September are the wettest months, with about 7 inches of rain each.

  • Outdoors

    March to May

    • Highs from the mid-70s to the mid-80s: the best weeks for a SmartHunt through the old town.
    • March weekends bring festivals downtown, so we route around closures.
  • Indoors

    June to September

    • Highs near 90 and the rainy months. Run the care-package builds and the murder mystery indoors, or start a hunt early in the morning.
    • Hurricane season runs June 1 to November 30.
  • Outdoors

    October and November

    • Highs in the low 80s falling to the mid-70s, and less rain. The Nights of Lights begin in late November.
  • Either way

    December to February

    • Highs in the upper 60s, fine for walking and cool for the beach. Evenings downtown are busy through the Nights of Lights.

Dates to plan around

Spring festival weekends
March to early April. In 2026: the Celtic Festival, the Lions Seafood Festival, the Old Town Art Show, the Blessing of the Fleet and the Easter parade.
Concerts in the Plaza
Thursdays, late May to early September. Free evening concerts in the Plaza de la Constitución, May 28 to September 3 in 2026.
Nights of Lights
November 21, 2026 to January 18, 2027. The old town's holiday lights draw its biggest crowds of the year.
Hurricane season
June 1 to November 30. Keep a hotel room on hold for any outdoor date from August to October.

The Thursday concerts fill the Plaza in the evening. For a SmartHunt on a summer Thursday, finish before 6:00pm.

When to book a St. Augustine event

  1. 10+ weeks out

Any date during the Nights of Lights or the March festival weekends, when downtown rooms go first.

  2. 6 to 8 weeks out

Other dates at the bayfront hotel, World Golf Village or the beach resort.

  3. 2 weeks out

Final headcount and meeting point. For a SmartHunt we confirm the route against the city's event calendar for that week.

  4. On the day

Corporate events and team building in St. Augustine, FL: questions we get

Can a SmartHunt run through the St. Augustine historic district?

Yes. City SmartHunt® is the program booked most here. Teams of eight to ten walk the old town with our iPads, between stops near the Castillo de San Marcos, the Plaza de la Constitución and St. George Street. It runs 2 to 2.5 hours, and we route it away from any street closed for a festival that day.

Where should our group park downtown?

The Historic Downtown Parking Facility at the Visitor Information Center on Castillo Drive is the simplest base. The free STAR Circulator runs from there to a bayfront stop at Avenida Menendez and Hypolita, beside the Hilton, and to Cathedral Place. It operates daily from 9:00am to 9:00pm, and until 11:00pm on Fridays and Saturdays.

How do the Nights of Lights affect an event?

The 2026 season runs from November 21, 2026 to January 18, 2027. Evenings downtown are crowded and traffic slows, so we plan outdoor programs for the daytime and put evening programs inside the hotel. Book a downtown hotel early for any date in those weeks.

Which hotels have you worked in?

The Hilton St. Augustine Historic Bayfront on the bay, the World Golf Village Renaissance St. Augustine Resort off I-95, and the Embassy Suites by Hilton on St. Augustine Beach. We have run SmartHunts, care-package builds, a murder mystery and Putting for Pets across the three.

Is World Golf Village in St. Augustine?

It has a St. Augustine address and sits in St. Johns County, about 11 miles northwest of the old town by I-95. Allow 20 to 30 minutes each way if a group based at the resort wants a SmartHunt in the historic district.

What charitable programs work here?

Operation Military Care, Project Alzheimer's™, Putting for Pets and a wheelchair build have all run in St. Augustine hotels. Each ends with a donation: care packages for service members, music players for people living with dementia, pet supplies for a shelter. We can direct it to a local cause your team already supports.

When is the weather best for an outdoor program?

March through May and October through November. Highs sit between the mid-70s and the mid-80s. From June to September highs run near 90 and August and September are the wettest months, so start a SmartHunt early. December to February highs run in the upper 60s, cool for the beach but comfortable on foot.

How far ahead should we book?

Ten weeks or more for a date during the Nights of Lights or the March festival weekends, when downtown hotels fill. Most other dates are comfortable at six to eight weeks, and the resort programs at World Golf Village or on the beach can sometimes be arranged sooner.
