Why Napa works for a corporate event

How a Napa event works with us

Companies come to Napa for a resort offsite: a leadership retreat, a sales incentive or a board meeting with a day of wine country built in. The program usually sits between the morning session and a winery dinner, on a resort lawn or in a ballroom, and it runs 1.5 to 2 hours. We bring everything to the resort and work with its event team, so the group never leaves the property unless the plan says so.

More about corporate events in Napa, CA

Charitable builds for Napa Valley kids

Bike Build Donation® is the program Napa groups book most. It has run at Silverado, The Meritage and the Napa Valley Marriott, and bikes built here have gone to the Boys & Girls Clubs of Napa Valley. Operation Military Care and Donation Nation Care Packs fill the same slot when a group would rather pack than build. Donations from Napa programs have also gone to Soldiers' Angels, the Napa Valley Education Foundation and Northwood Elementary School.

On the lawn, between the vines

Napa's resorts are built around lawns, olive trees and vineyard views, and the weather lets a group use them for most of the year. A Bocce Ball Tournament has run at The Meritage, which sits against its own hillside vineyard in south Napa. Team Olympics needs about 50 square feet a person, which a resort event lawn has to spare.

Game shows after the tasting

When the afternoon belongs to wineries, the program moves to the evening and indoors. Jeoparody Live! has run at Carneros Resort and Spa for a hospitality group, and A Minute 2 Win It! has run at Silverado for an event planning client. Minute 2 Win It! for Charity adds a donation to the same games.

Leadership retreats

Napa is a common choice for a small leadership team, often biotech or pharmaceutical, meeting away from the Bay Area office. Igniting Team Performance® has run at The Westin Verasa Napa, next door to Oxbow Public Market, and it is a facilitated session with a debrief tied to how the team works.

Where Napa events happen

Silverado Resort in the hills north of town and Carneros Resort and Spa to the south are the two resorts we have worked in most. The Meritage Resort and Spa, The Westin Verasa Napa downtown and the Napa Valley Marriott on Solano Avenue are the others, and a group staying up valley in Yountville can bring the program to its own hotel.

An hour from the Bay Area

Napa is about an hour's drive from San Francisco and Oakland outside rush hour, and about the same from Sacramento. The same facilitators work across Northern California, so a company can plan a city program and a Napa offsite together.

Lawn or ballroom: sizing a Napa program

Napa resorts pair event lawns with ballrooms and smaller rooms for leadership groups. The chart shows the room each attendee takes up in each program.

Floor area per person

Measured another way

City SmartHunt®
Downtown Napa's riverfront, Oxbow Public Market and First Street, a short walk from The Westin Verasa.

An event in a City of Napa park or on its streets needs a special event permit when it closes a street or passes 250 people, filed at least 90 days ahead with Parks and Recreation. On resort grounds the resort handles it.

A worked example

2,000 sq ft

80 people at 25 sq ft each

Each square is one person’s 25 sq ft.

Resort lawns in Napa are wedding lawns on summer weekends. A weekday program gets the best lawn and the shade.

Planning guide

Napa's season, month by month

Napa's rain falls from November to March. Summer is dry and hot, with highs near 80 and some days much hotter.

  • Outdoors

    April to June

    • Highs from the upper 60s to the upper 70s, and the vines leafing out. The best months on a lawn.
  • Outdoors

    July to October

    • Dry and near 80, with heat waves past 100. Program in the morning, with shade and water.
    • September and October are harvest, the busiest time in the valley.
  • Indoors

    November to March

    • The rainy season, with highs in the upper 50s in winter. Ballroom builds and game shows are the plan, and the valley is quieter.

Dates to plan around

BottleRock Napa Valley
Memorial Day weekend (May 28 to 30 in 2027). A three-day music festival at the Napa Valley Expo; rooms fill across the valley.
Harvest
September and October. Wineries are at their busiest, and so are the resorts.
Quiet season
January and February. Green hills, mustard in the vineyards and the easiest resort availability of the year.

Book around BottleRock weekend and early for harvest. Winter is the easiest time to get the resort you want.

Planning guide

How far ahead to plan a Napa program

  1. 3+ months out

Spring and fall offsites, harvest weekends and anything near BottleRock. The resorts set the agenda early.

  2. 90 days out

The deadline for a City of Napa special event permit, if the program uses a park or a street.

  3. 6 to 8 weeks out

Winter dates in a resort ballroom.

  4. 2 weeks out

Final numbers, the lawn or room, a heat or rain plan and the recipient for a charitable build.

January is the month when a Napa resort can most easily fit a program in at short notice. 800.849.8326

Corporate events and team building in Napa, CA: questions we get

Can you run a team building program at our Napa resort?

Yes. Nearly every Napa program we run happens at the group's own resort: Silverado, Carneros Resort and Spa, The Meritage, The Westin Verasa or the Napa Valley Marriott. We work with the resort's event team on the lawn or the ballroom and bring the facilitators, the equipment and the build materials.

What are the best team building activities in Napa?

Bike Build Donation® is the one Napa groups book most. A Minute 2 Win It! and Jeoparody Live! suit an evening after a day of tastings, a Bocce Ball Tournament fits a resort lawn, and Igniting Team Performance® is the choice for a leadership retreat.

Can a program fit around winery visits?

Yes, and most Napa agendas are built that way. A 1.5 to 2 hour program works before lunch, before the wineries open their afternoon appointments, or back at the resort before dinner. Tell us the tasting times and we plan the program around them.

When is the best time of year for an outdoor program in Napa?

May through October is almost dry. Highs sit near 80 from June through September, and heat waves can pass 100, so summer programs start in the morning with shade and water. September to November is harvest. From December through March, rain is likely and we plan indoors.

Which Napa Valley organizations have received donations?

Napa programs have given to the Boys & Girls Clubs of Napa Valley, the Napa Valley Education Foundation, Northwood Elementary School and Soldiers' Angels. We can also direct a donation to a Napa County cause your company already supports.

What about BottleRock weekend?

BottleRock Napa Valley takes over the Napa Valley Expo next to downtown on Memorial Day weekend, May 28 to 30 in 2027. Rooms fill and downtown streets are restricted, so we suggest a different weekend, or a resort outside downtown booked well ahead.

How do attendees get to Napa?

Oakland and Sacramento airports are each about an hour and a half away, and SFO takes 1.5 to 3 hours depending on traffic. Many groups charter a coach from the airport. The Bay Ferry to Vallejo and a VINE bus is the transit option from San Francisco.

How far out do Napa resort offsites get planned?

Three months or more for spring and fall, when the resorts are busiest, and earlier for harvest weekends in September and October. Six to eight weeks can work for a winter date in a ballroom. A program in a city park needs a special event permit filed at least 90 days out.
