Why Lake Buena Vista works for a corporate event

How it works with us here

Lake Buena Vista is the mailing address of the Walt Disney World resort corridor: the Disney convention resorts, the Swan and Dolphin, Disney Springs and the hotels along Hotel Plaza Boulevard. Nearly every event we run here sits inside a conference, in a ballroom or breakout room between sessions, so the group never leaves the resort. We bring the program and the equipment, work with the resort's convention services team on load-in, and fit the program to your agenda. Our Florida office in Palm Harbor is about two hours west on I-4.

More about corporate events in Lake Buena Vista, FL

Wheelchairs for Central Florida veterans

Build-a-Wheelchair® is the program booked most in Lake Buena Vista. Teams assemble and test each chair, and the wheelchairs go to veterans. It has filled ballrooms at Disney's Grand Floridian Resort & Spa, the Walt Disney World Dolphin and the Hilton Orlando Buena Vista Palace, with chairs donated through the Orlando VA Medical Center in Lake Nona, American Legion Post 10 in Kissimmee, the American Legion Riders and Truckin 4 Troops.

Game shows for a general session

An insurance company ran A Minute 2 Win It! in a Walt Disney World Swan ballroom, and a technology company ran it at the Wyndham Lake Buena Vista. An event-industry group played Jeoparody Live! at the Hilton Orlando Lake Buena Vista, with contestant podiums, a projected board and our host, in 1 to 1.5 hours.

Builds and leadership sessions

A shipping company assembled Hydroponics for Hunger grow kits at the Wyndham, a technology team packed Donation Nation Care Packs at Disney's BoardWalk Inn, and Bike Build Donation® has run at Disney's Coronado Springs Resort. Leadership teams book Igniting Team Performance®, which has run at Disney's Contemporary Resort and in the Yacht Club's convention center.

Disney Springs as the course

Disney Springs is free to enter and free to park, which makes it an easy course for a group outing. A consulting firm sent its teams around it on a self-guided city challenge, and earlier SmartHunts started from House of Blues. Teams of eight to ten work from iPads we provide and finish at a restaurant or bar for the evening. The garages open at 9:00 AM on regular days, so a hunt fits the afternoon before a group dinner there.

Where events happen

Disney's Grand Floridian, the Walt Disney World Dolphin and Swan, and Disney's Yacht Club are the convention resorts we work in most. The Dolphin opened a 38,000-square-foot ballroom wing in 2026. On Hotel Plaza Boulevard, the Hilton Orlando Buena Vista Palace, the Hilton Orlando Lake Buena Vista and the Wyndham Lake Buena Vista each have ballrooms a short walk from Disney Springs. The Buena Vista Palace alone has 120,000 square feet of event space, including the Sabal Ballroom at over 18,000 square feet.

Part of metro Orlando

Lake Buena Vista is part of our Orlando coverage. Orlando takes in International Drive, the convention center and downtown, and Kissimmee covers the resorts along US 192, so a conference that moves between them works with one team.

Planning guide

Ballroom space for a Lake Buena Vista program

The convention resorts here have ballrooms of 12,000 to 38,000 square feet and plenty of breakout rooms. Use the square footage per person to pick the room.

Floor area per person

Measured another way

City SmartHunt®
A meeting point at Disney Springs, reached from the Hotel Plaza Boulevard hotels on foot.

Inside a Disney or Swan and Dolphin resort, the event space, load-in times and any outdoor lawn are arranged through the resort's convention services team. We send our equipment list and room diagram to them directly.

A worked example

7,500 sq ft

300 people at 25 sq ft each

Each square is one person’s 25 sq ft.

A group of 300 needs about 7,500 square feet, well under half of the 18,216-square-foot Grand Floridian Ballroom, so a section of a larger ballroom often does the job.

Planning guide

Lake Buena Vista weather and the Disney calendar

Central Florida winters are mild and dry, and the summers are hot with an afternoon storm most days. The Disney festival calendar decides how full the resorts are.

  • Outdoors

    November to April

    • Highs from about 72 in January to 84 in April and around two to three inches of rain a month: the months for a Disney Springs hunt or a program on a resort lawn.

  • Either way

    May and October

    • Highs in the mid to upper 80s. Plan the outdoor part for the morning.

  • Indoors

    June to September

    • Highs of 90 to 92, heavy humidity and six to eight inches of rain a month, mostly in afternoon thunderstorms. Ballroom programs run the same in any weather.
    • Hurricane season runs June 1 to November 30.

Dates to plan around

Walt Disney World Marathon Weekend
Early January (January 6 to 10 in 2027). runDisney's races start before dawn and fill the resorts for the week.
EPCOT International Festival of the Arts
Mid-January into early March. Busy evenings at EPCOT and the resorts around it.
EPCOT International Flower & Garden Festival
March 10 to May 31 in 2027. Spring break crowds on top of the festival.
EPCOT International Food & Wine Festival
August 27 to November 21 in 2026. The fall festival keeps the Epcot-area resorts busy into November.

The resorts near EPCOT, the Yacht Club, BoardWalk, Swan and Dolphin, feel the festivals most. Book those ballrooms early for dates inside a festival.

Getting to Lake Buena Vista

Most groups land at Orlando International and stay on property for the whole meeting.

Flying in

Orlando International (MCO)
About 20 miles northeast. The Swan and Dolphin put the drive at roughly 20 minutes without traffic.

Driving

I-4
Take Exit 67 toward EPCOT and Disney Springs. State Road 535 serves the Hotel Plaza Boulevard hotels on the east side of Disney Springs.
Parking
Self-parking at Disney Springs is free in all its garages and lots, which open at 9:00 AM on regular days.

Between resorts

Boats and walkways
From the Swan and Dolphin dock a water taxi runs to EPCOT and Disney's Hollywood Studios about every 20 minutes, and walkways lead to both parks.
Disney buses
Resort buses link the Disney hotels with Disney Springs during its opening hours.

Planning guide

Lead times for a Lake Buena Vista event

  1. As soon as dates are set

Tell us your conference dates and resort. Convention services teams lock room plans early, and January, spring and the fall festival months fill first.

  2. 6 to 8 weeks out

Confirm the program, the room and the time slot in your agenda, and pick the veterans or youth organization for a charitable build.

  3. 2 weeks out

Final headcount and the room diagram. We send our equipment list and load-in time to the resort.

  4. Event day

We load in through the resort's service entrance, set up before your session breaks, run the program and clear the room for the next function.

A closer date can still work, especially in summer, so call to ask. 800.849.8326

Corporate events and team building in Lake Buena Vista, FL: questions we get

Can you run a program inside our Disney resort convention center?

Yes. We have run programs at Disney's Grand Floridian, Yacht Club, Contemporary, BoardWalk and Coronado Springs resorts, and at the Swan and Dolphin. We coordinate load-in and room setup with the resort's convention services team, and the program fits a gap in your agenda between sessions.

Which Lake Buena Vista hotels have you worked in?

Disney's Grand Floridian most often, then the Walt Disney World Dolphin, Disney's Yacht Club, the Hilton Orlando Buena Vista Palace, the Wyndham Lake Buena Vista, the Hilton Orlando Lake Buena Vista and the Walt Disney World Swan. Tell us your hotel and meeting room and we will size the program to it.

What is Build-a-Wheelchair and where do the chairs go?

Teams assemble and check real wheelchairs in a ballroom, and the chairs are donated to veterans. In Lake Buena Vista the chairs have gone through the Orlando VA Medical Center, American Legion Post 10 in Kissimmee, the American Legion Riders and Truckin 4 Troops.

Is this different from your Orlando page?

Yes. This page covers the Walt Disney World resorts, Disney Springs and the Hotel Plaza Boulevard hotels. The Orlando page covers International Drive, Universal and downtown, and Kissimmee covers US 192. One team plans all three, so a conference split between areas is one conversation.

Can we run a scavenger hunt at Disney Springs?

Yes. Disney Springs has free admission and free self-parking in its garages and lots, and our city challenges have used it as a course, with teams playing on iPads we provide. Disney asks visitors to arrive an hour before any reservation and to allow up to two hours at peak times.

How many people can take part?

Lake Buena Vista groups run from a small leadership team in a Yacht Club boardroom to a full general session in a Dolphin ballroom. Most programs list 30 to 1,000+, and we add facilitators as the group grows so every team stays busy.

When can we plan an outdoor program?

November through April, when highs run from about 72 in January to 84 in April. From June through September highs reach 91 or 92 and afternoon storms bring six to eight inches of rain a month, so we keep programs in the ballroom or start them early.

How far ahead should we book?

As soon as your conference dates are set, and twelve weeks ahead at the least for January, spring and the fall festival season, when the resorts are full. A program for a small leadership team is usually comfortable at six weeks.
