Why Cambridge, MA works for a corporate event

Who books here

Cambridge sits across the Charles River from Boston, and for a corporate group it often works better than the city itself. Kendall Square holds one of the densest clusters of life science and technology employers in the country, MIT and Harvard anchor either end of the city, and the Red Line reaches South Station in a few stops. Most of the teams we work with here are already in Cambridge every day, so the event comes to them.

More about corporate events in Cambridge, MA

What Cambridge groups book most

Charitable builds. In Bike Build Donation®, teams of ten earn bike parts in short challenges, then assemble and safety-check the bikes for children from a local organization, who are often in the room for the handover. Project Alzheimer’s™ ends with MP3 players and comfort items for residents of a care facility. Both run 1.5 to 2 hours, indoors or out.

Getting outside

City SmartHunt® sends teams of eight to ten across Harvard Square, the river paths and Kendall on iPads we provide, with photo and video challenges scored live. It runs 2 to 2.5 hours and starts from a hotel lobby or your own reception area. Amazing Chase SmartHunt® is the faster, race-style version.

Training with a takeaway

Bridge to the Future has teams build sections of a cardboard bridge that stand for where the company is going, then join them into one span strong enough to hold the whole group. Igniting Team Performance® is a facilitated session of challenges with a discussion after each one, for a team that wants something to apply on Monday.

Where events happen

Companies in Kendall Square and Cambridge Crossing usually host in their own space. Groups from out of town book the Hyatt Regency Boston / Cambridge on Memorial Drive, the Boston Marriott Cambridge or The Charles Hotel beside Harvard Square. Glass House in the Canal District suits a smaller reception, and the American Academy of Arts and Sciences has hosted us for a seated program.

When to book

Late September through early December is the busiest stretch, when kickoffs and holiday gatherings compete for the same ballrooms. For a winter afternoon, an indoor game show such as Best Corporate Feud (1 to 1.5 hours, teams of six to ten) is the easy fit.

Beyond Cambridge

Our facilitators bring the equipment and the awards, so you supply the room and the people. Cambridge is also our front door to Greater Boston: teams in Somerville, Watertown and Waltham are a short drive, and one event here often leads to a second at a satellite office.

Planning guide

Matching a program to your Cambridge space

Many Cambridge events run in an office commons, a lab building’s atrium or a hotel function room, and the floor area settles the choice faster than the headcount does. Each program’s spec lists the space it needs.

Floor area per person

Measured another way

Mavericks Murder Mystery
About 30 square feet for each table of five or six, so a conference room works.
City SmartHunt®
A meeting point and nothing more.

A worked example

2,000 sq ft

80 people at 25 sq ft each

Each square is one person’s 25 sq ft.

Send us the room’s dimensions or a floor plan with your headcount and we will tell you which programs fit.

Planning guide

Indoors or out: planning around the Cambridge calendar

  • Indoors

    December to March

    • The sun sets before 4:30 for most of December, and the river paths are cold and dark by late afternoon.
    • Game shows, the murder mystery and the charitable builds all run in a conference room or ballroom. See winter team building.
  • Either way

    April and November

    • These months can go either way, so hold an indoor backup with any outdoor date.
  • Outdoors

    May to October

    • SmartHunt teams cover Harvard Square, the river paths and Kendall on foot.
    • Team Olympics can move onto a lawn.

Dates to plan around

Harvard and MIT commencement
Late May. Hotel rooms near both campuses are scarce.
Ballrooms fill early
Late September to early December. Kickoffs and holiday gatherings compete for the same ballrooms.
Head of the Charles Regatta
A weekend in October. The regatta fills the riverbanks.

If your event lands near commencement or the regatta, tell us early and we will plan the room and the route around it.

Planning guide

A planning timeline for a Cambridge event

  1. 8+ weeks out

Dates from late September through early December, groups over 100, and anything in a hotel ballroom. Those rooms go early to conferences and holiday parties.

  2. 4 to 6 weeks out

A group under 100 in your own office. A month is comfortable.

  3. 2 weeks out

Confirm the headcount, the room layout and building access. If you booked a charitable build, choose the organization that receives the donation.

  4. Event day

Our facilitators arrive ahead of the start with the equipment, so your team walks into a room that is ready.

Shorter notice is sometimes possible, so call if your date is close. 800.849.8326

Corporate events and team building in Cambridge, MA: questions we get

Do you travel to our Cambridge office?

Yes. We bring the program, the facilitators, and the equipment to your office or venue anywhere in the Cambridge area, and to the rest of Greater Boston. If you still need a room, we can suggest one that fits your headcount and the program you have in mind.

Where can we hold a team building event in Cambridge?

Cambridge groups have gathered at the Hyatt Regency Boston / Cambridge, the Boston Marriott Cambridge, The Charles Hotel, and Glass House in Kendall Square, and many companies run the program in their own office. Tell us your date and group size and we will help you choose.

Which programs work best for a Kendall Square company?

Charitable builds are the most booked programs in Cambridge. Bike Build Donation® and Project Alzheimer’s™ both run 1.5 to 2 hours in teams of ten, indoors or outdoors, and end with a donation to a local organization. City SmartHunt® is the pick for a group that wants to see the city while it competes.

Can we run a City SmartHunt® in Cambridge?

Yes. Teams of eight to ten explore Harvard Square, Kendall Square, and the Charles River paths on iPads we provide, with photo and video challenges scored live. It runs 2 to 2.5 hours and starts wherever you are, so a hotel lobby or your own reception area works as the base.

How long does a team building event in Cambridge take?

Plan on one to three hours. Best Corporate Feud runs 1 to 1.5 hours, Bike Build Donation® and Project Alzheimer’s™ run 1.5 to 2, City SmartHunt® runs 2 to 2.5, and Igniting Team Performance® runs 2 to 3.

Can we hold our event outdoors along the Charles River?

Yes, from about May through October. City SmartHunt® is the simplest outdoor choice, because teams of eight to ten move along public sidewalks and paths instead of gathering in one spot. A program that keeps the whole group in one place, such as Team Olympics, may need a permit from the City of Cambridge for a city park, or from the state Department of Conservation and Recreation for the riverbanks. We check that with you when you book.

How many people can take part?

Our events have run for groups of 20 to 6,000+, and most programs list 30 to 1,000+. A Cambridge group is usually one site or one department, so the room sets the ceiling more than we do. A Kendall Square all-hands space fits a build for a hundred or so; the ballrooms on Memorial Drive take several hundred. We add facilitators as the headcount grows.

Which local organizations receive the donations?

Cambridge events have supported Action for Boston Community Development, Big Brothers Big Sisters of Eastern Massachusetts, Somerville-Cambridge Elder Services, and Bridges Homeward, among others. We can match your program to a cause your team cares about, including one you already work with.

How far in advance should we book?

Cambridge fall calendars fill early, because lab and biotech teams tend to book their kickoffs and holiday events at the same time the hotels on the river are hosting conferences. A month of notice is comfortable for a group under a hundred; larger groups and December dates deserve more. Send the date and we will tell you what is possible.

Do you also cover Boston and the suburbs?

Yes. Cambridge is part of our Greater Boston coverage, alongside Boston, Somerville, Waltham, and the rest of the metro. The same facilitators run events on both sides of the river, so a company with a second office nearby can book both in one conversation.

Also serving teams across Greater Boston

One team covers the whole metro. An activity in Cambridge, MA is the same activity, run by the same facilitators, as in any of these cities.
